The Cohen Lab at The Woods Hole Oceanographic Institution (WHOI) is seeking a full-time qualified Project Coordinator to join a multi-disciplinary team focused on coral reef science and conservation projects spanning multiple countries and collaborators.



The Project Coordinator will be responsible for managing schedules and meetings for the team, organizing team workshops domestically and abroad, assisting with the preparation of reports, maintaining deliverable deadlines, and financial reporting and expenditures. This role is integral to the success of the team's mission and the successful applicant will work closely with the Principal Investigator and Project Manager.



The ideal candidate has excellent organizational, writing and communication skills, is a team-player, can exercise patience in a fast-moving and fast-changing working environment across cultures, languages and time zones, and is passionate about marine science and conservation.



The internal working title for this position could be either Project Assistant or Project Coordinator. The final level of the position will be determined commensurate with the selected candidate's level of education & experience. It is a regular full-time, in person, on-site position and eligible for benefits. The duration of the appointment is 1-year with potential to extend based on performance and funding. We are hoping for a position start date Oct 1, 2023, or earlier.

Essential Functions Include:

  *   Coordinate, and manage schedules, meetings, and travel for the team,
  *   Prepare and share meeting notes,
  *   Plan, schedule and execute team workshops domestically and abroad,
  *   Track project finances, deliver project expense report and budget on a regular basis,
  *   Submit expense reimbursements for the team, order supplies and assist with vendor payments.
  *   Keep track of, maintain, and report on project milestones and deliverables.
  *   Assist with report writing.
  *   Assist with development of presentation materials.



REQUIRED Education and Experience:

  *   A Bachelors' degree or higher in science or engineering
  *   Background in marine science
  *   Experience in a research environment
  *   Three years or more experience in project assistance, project coordination or team coordination
  *   Fluency in Microsoft word, Powerpoint, Excel, or equivalent, and calendar management tools
  *   Experience tracking project milestones and deliverables, scheduling, and organization of a teams across time zones area



Matlab, R or other programming skills are a plus but not required.
